Purpose of the guide

Help the teachers of the municipal schools in the management of Moodle at the beginning and end of the year

Prerequisites

  • Manager permissions for your institution.
  • For some functions, it is enough to have the role of teacher in the course.

Premise

  • Each teacher responsible for digital resources (DRD) is a manager of their own institution.
  • In this guide, we will use the named course as an example
    CGUI-CLA-5A.
  • Each course has a short name composed as follows:

How to enroll or unsubscribe one or more teachers from a course

Enroll a teacher in a course

Access the course in which you want to enroll a teacher.

In the left navigation, click on Participants .

In the central part, the platform shows the users enrolled in the course. In this case the message is: “ There are no items to display ” because no users have yet been enrolled in the course.

To register a teacher, click on Register users .

In the Enroll Users window, type the name of the teacher to enroll in the course. In this case the teacher is called → Teacher Guide.

In the Select user field, type "teacher". The platform proposes, through a drop-down list, all users with the name "teacher". Add the person you want to enroll.

In the field Assign role it is necessary to choose Teacher . This assigns the Teacher role to the Teacher Guide user.

Finally click the button Register the selected global users and groups to end the registration.

The Driving Teacher is now enrolled in the course and is visible in the list.


Remove the enrollment of a teacher from the course

Go to the course in which you want to unsubscribe a teacher.

In the left navigation, click on Participants .

In the event that the list of registered users should be many, it is possible to use the Search for a keyword field or set a filter to find the user to be deleted more quickly.

As soon as the user to be deleted is found, click on the trash can icon.

In the window that appears, confirm the procedure by clicking on the Unsubscribe button.

Note

This will remove the user from the course and not the entire platform

Confirm the operation by clicking on Unsubscribe .


How to sync and unsynchronize a global group in a course

The term global group refers to a group of users available globally on the platform. In our platform these global groups represent classes. All pupils in a class are located within a global group.

How to synchronize a global group in a course

Access the course in which you want to enroll students.

In the left navigation, click on Participants .

Then click on the gear at the top right Registration methods

In the drop-down menu for Add Method , choose Synchronize Global Groups

In the Global group field type the name of the course, in this way Moodle will propose the correct global group.
Then click on the global group that corresponds to the desired search (in this case CGUI-CLA-5A ).

Important

Define the role to be assigned to users in this global group. Student must be selected

Click Add Method .

At the end of this operation, the previous screen shows the global group synchronized with the course.

Highlighted in yellow: the name of the global group and the number of students within it.

By clicking on Participants again, you can see all 19 students enrolled in the course. The list shows the user's first name, last name, e-mail and role within the course.


How to remove the synchronization of a global group in a course

Go to the course in which you want to remove the synchronization of a global group.

In the left navigation, click on Participants Gear Enrollment Methods .

Locate the global group to be deleted and click on the corresponding recycle bin.

Note

The course may list multiple synchronized global groups

Finally, finish the procedure by clicking on Continue .


Back up a course

Textual procedure

Go to the course you want to back up.

Click on the top right gear Backup .

On the Backup Settings page, leave the settings proposed by Moodle unchanged and click on the Skip to final step button.

Moodle will back up all course content (resources and activities).

Click Continue to finish the backup process.

The backup file, in .mbz format, can be downloaded from the Moodle platform by clicking on the Download button.

Note

This zipped backup file is readable only by the Moodle platform and is therefore not readable on your devices (Tablet, Computer or MacOS). This backup can be restored to any other Moodle platform, even not CERDD (the version of the Moodle platform must be checked)


Restore a course

Go to the course you want to restore to.

Click on the top right gear Reset .

Click on Choose a file… and select the backup file, in the .mbz format, you want to restore from your computer.

Then click on the Restore button.

Moodle displays the contents of the chosen backup.mbz file.

Click on Continue .


Moodle offers two options:

  • Add the backup content to the course.
  • Delete the current course content and then restore it with the backup content.

Choose the desired option and click on the Continue button.

For this example, you select: Delete the content of this course and then restore .

A screen appears that allows you to change some settings. Leave everything unchanged and click the Next button.

In this screen it is possible to exclude the restoration of the single activities or resources of the course. If you want to restore all course content, leave everything unchanged and click on the Next button.

The selected settings are summarized in the last screen.

Click Restore to restore the course from the backup.

Wait a few seconds until the operation is complete.

Finish the restore by clicking on Continue .


Manage and delete course backups on the platform

Go to the course in which you want to manage or delete backups.

Click on the top right gear Reset .

The recovery page allows you to:

  • Import a backup and restore a course:
    see chapter Restoring a course .
  • Manage the backups present in the Course backup area :
    the backups in this area are visible to the teacher only in this course.
  • Manage the backups in the Personal Backup Area :
    the backups in this area are visible in all courses in which the teacher is enrolled.

Backup management

The following procedure is valid both for the management of the backups present in the Current Backup Area and for those present in the Personal Backup Area .

Click on Manage Backup Files

To manage the backup named: backup-moodle2-course-34-gcl12-20200321-1219-nu.mbz , click on the file name.

The platform allows you to perform three operations:

  • Download the backup to your device
  • Permanently delete the backup
  • Change some backup metadata

To delete the backup file, click the Delete button.

Confirm the operation by clicking on the OK button.

In the screen that appears, the file is no longer listed, however it has not yet been deleted from the platform. To permanently delete it, click on the Save changes button.

Attention

It is recommended not to keep more than 1 backup file in the backup area

When finished, the restore page shows only two backup files.


Transfer of a pupil during the school year

Should a pupil move to a new school, their course enrollment needs to be changed.
